Choosing software for a team of 2–5 psychologists
For a team of two to five psychologists, first test individual schedules, shared-room availability, staff permissions and how first appointments are arranged. Then check reminders, rescheduling and invoicing. Compare the complete monthly cost including extra users, SMS and optional modules rather than judging the system only by the single-user package price.
Software for one psychologist may be little more than a personal calendar. With two to five providers, shared availability, permissions and clear administrative processes become more important. Even a small team can lose time to inconsistent calendars or duplicated appointments.
Test calendars and staff permissions first
Every psychologist needs an individual schedule and a way to record leave. Someone coordinating the team needs an appropriate overview, but not necessarily unrestricted access to all information. Check whether roles and permissions can be limited to the responsibilities of each user.
If rooms are shared, try scheduling two providers into the same room at the same time. This tests whether the system respects space availability as well as staff availability.
Test the complete administrative process
Run these five tasks during a trial:
- Add two or more providers with different working hours.
- Create individual and recurring appointments.
- Review the wording of neutral confirmations and reminders.
- Cancel or reschedule an appointment under your policy.
- Prepare an invoice and verify which package provides that feature.
Test public booking separately if you need it. Software can be useful even when staff continue to arrange every appointment themselves.
What a five-user subscription really costs
The advertised single-user price is not the final team cost. Compare:
| Item | What to ask |
|---|---|
| Monthly package | Which features are included |
| Additional users | What four extra seats cost |
| Notifications | Whether SMS use is billed separately |
| Payments and invoices | Which package includes the required workflow |
| Optional modules | Whether more fees apply |
The Calendra pricing calculator lets you select five users and inspect monthly or yearly terms. Always check the current offer and any additional charges.
Take privacy boundaries seriously
Scheduling software is not a clinical record system. Review the data processing agreement, subprocessors and actual staff permissions. Collect only the data needed for booking, and avoid sensitive counselling details in reminder templates. Health data can require additional legal and organisational safeguards.
An example from a small team
Inštitut Avisensa uses Calendra with five users for internal booking, shared calendars and reminders. The psychology and counselling product page shows the administrative workflow and clearly distinguishes it from clinical documentation.
Test staff permissions without exposing client information
Create two test accounts with different roles. One represents a psychologist, while the other represents a colleague handling administrative bookings. Using fictional data, create several appointments and check what each role can see in daily and weekly calendar views. In particular, check whether viewing availability can be separated from editing all appointment details.
Next, simulate a cancellation, a reschedule and a new booking. Observe who can make each change and who receives the resulting notification. If it is unclear who should respond to an unexpected cancellation, write down the operational responsibility before relying on automated messaging.
Ask the vendor about data handling
Request current security information, a data processing agreement, the subprocessor list and the documented options for exporting business records. Check how access restrictions are configured and how information is handled when a subscription ends. For sensitive information, seek an appropriate privacy or legal assessment rather than relying only on a marketing claim.
Distinguish between available features and suitable use cases. A system that supports free-text notes or uploaded documents is not automatically a suitable place for medical records or clinical session notes. Administrative scheduling and clinical documentation may need separate systems and rules.
Make quotes comparable
Use the same assumptions for each vendor: five staff accounts, the expected number of email and SMS notifications, the required invoice functionality and the actual plan term. List setup charges, optional add-ons, payment-processing fees and migration effort separately.
Do not compare one provider's five-user bundle with another provider's single-seat headline price. Also consider the cost of running unnecessary modules or using a complicated workflow to perform a simple appointment change.
Evaluate the workflow with the whole team
Ask at least one psychologist and one administrative colleague to use the trial independently. Have each person name three tasks that felt straightforward and three that required extra help. Compare the experience for a first-time enquiry, a repeat appointment and an unexpected cancellation.
A tool can provide an elegant calendar and still leave the team switching between messaging applications and spreadsheets. The better choice is the one that makes the complete administrative process more consistent while respecting the information boundaries relevant to the practice.
